The many and varied sources of revenue and expenses, and the methods by which we receive, spend and process, continues to consume most of my time. The new part-time staff that has been assigned to assist me with some of the more clerical aspects of the job has been a big help these past few weeks. Right now I have off-loaded the posting of contribution checks and POS/credit card gifts into Raisers Edge records to him. This is taking approx 2-4hrs depending on the volume. I plan to train him to manage most of the POS activity since he is budgeted to take on 5-7hrs/week of accounting tasks.

The efforts of preparing for GA involve reviewing last years product sold, making lists of items and quantity requested for KJR in New York, counting and packing the inventory received from NY. After GA, inventory is recounted to determine amounts sold, adjustments are made to the invoices to reflect same and it is repacked again and returned to NY. This, combined with the time away at GA, and summer vacation does tend to set me back somewhat severely in my regular accounting duties.

With the return to normal schedules in September and the new assistance, I am feeling that things are caught up at this point, with a few remaining issues to be resolved, one important one being the proper recording on the balance sheet of the Endowment funds.

In February approximately 1500 2004 Contribution Statements were generated and mailed out. This means that 1500 households made a 2004 gift to CLF. In August, approximately 1800 Periodic Statements were generated and mailed out. This represents all CLF households and does generate some giving in response. As of today, approximately 1000 CLF households have made a 2005 contribution. Each one of these mailings has several hundred dollars of associated costs due to the mail prep and postage charges. In addition, due to the complexity of the database queries and Access files generated for these mailings, which were developed for CLF by the UUA Development staff, this activity can consume a few days of effort.
